Call Forwarding
Q. How do I forward my calls?
A. Either press the pre-programmed Forward button or dial 355. If you have a large display you may need to select ALL. Then either:
- Internal – Enter an extension number or hunt group number
- Voicemail – Enter 2500 to forward straight to voicemail
- External – Enter 9 then a telephone number
Call Logs
Q. How do I access the call logs?
A. Press the Logs button on your phone or dial 333. You will then be presented options in the display to access Dialled, received and Missed calls. Select the relevant option and then use the navigation buttons in the display or the volume up and down buttons to scroll through the call logs. To call the number in the display press #

Conferencing (Adhoc)
Q. How do I setup a conference call?
A.
- With a caller on the line press the button labelled ‘Conference’ or press the special key then dial 5
- Call the next party in usual way for either an internal or external number.
- When that call is answered press the Conference Button twice (or special key then 5 twice) which will connect all parties to the call.
- Repeat the process for any additional parties (up to eight parties on newer systems)
Conferencing (Conference Rooms)
Q. How do I access the Conference Room?
A. You will have a preset internal extension number for any internal users and an external number for parties outside of your system. Dial either number and then you will be requested to enter the access code then #. You will then be connected to the conference call. The system can support multiple conference rooms all accessible with different access code.
You will be able to have up to 20 people in a single conference room at once.
Directory
Q. How do I access the system directory?
A. To access the system directory press the pre-programmed Directory button or dial 307. Then press 1 for Internal and 2 for External. Then spell out the name of the person to search for using the keypad i.e. to enter DAVE dial 3283. To scroll through the directory press the volume up and down buttons. To dial the entry displayed in the phone press #

Do Not Disturb
Q. How do I enable DND?
A. To enable either press the pre-programmed DND button or dial 372. To disable press the button again or dial 372. You can select the DND message to display by scrolling through using the volume up and down buttons.

Headset
Q. How do I enable headset mode on my phone?
A. If you have a headset that plugs into the headset port on the back of the phone, you can enable headset mode by dialling 317. To disable headset mode dial 317 again.

Holding Calls
Q. How do I put a call on hold?
A. Press the red button on the right hand side of your phone. The call will then be put on hold. You can put the handset back in the cradle whilst the call is on hold. To retrieve the call press the Hold button again or press the flashing Call button.
Hot Desking
Q. How do I Hot desk into a phone?
A. You can either press the Login button on the phone first or dial 348. Then enter your extension number and your extension passcode which in default will either be your extension number or blank then press #.
For example if your extension is 1000 you can dial 348 then 1000 then the passcode, either 1000# or just #
If your passcode does not work then please contact us to reset it
Picking up a Call
Q. How do I pickup a ringing call from my phone?
A. To pickup a call ringing elsewhere, either:
- Press your pre-programmed Pickup button
- or
- Dial 4 followed by the extension number or hunt group number
- or
- If you have a button programmed for an extension or group you can dial 4 then press the button.
Programming Buttons
Q. How do I program buttons on my phone for extensions?
A. With the handset down dial 397 then press the button to program and enter the extension number or group number to store
Q. How do I program buttons on my phone for features?
A. With the handset down dial 397 then press the button to program and enter the feature code to store. Some common feature codes are listed below:
- 381 – system speed dial
- 372 – DND
- 333 – call logs
- 385 – record a call
- 317 – headset mode
- 348 – hot desk
- 5 – conferencing
Record a Call
Q. How do I record calls on my phone?
A. If you do not have a centralised call recorder then you can use the Record a Call feature. Each time you want to record a call you need to initiate the record feature. This feature is not enabled by default unless requested, please contact us so we can set it up.
Once its set up, whilst on a call you can press the pre-programmed record button or press the Special (feature button) first then dial 385.

Ring Tone
Q. How do I change the ring tone on my phone?
A. With the handset down dial 398 then use the volume up and down keys to select the ring tone you require. Hang up to save.
Ring Volume
Q. How do I change the ringing volume on my phone?
A. With the handset down press the volume up and down buttons until you get to the volume you require.
System Reboot
Q. How do I reboot the Mitel?
A. Follow the below procedure from the front of the main system controller
Using the navigation keys to the right of the LCD:
- Press the middle button
- Press down for System Menu
- Press the middle button
- Press down until you get to Reboot
- Press the middle button
- Press down for Yes
- Press the middle button and the system will Reboot
System Shutdown
Q. How do I shut down the Mitel?
A. Follow the below procedure from the front of the main system controller
Using the navigation keys to the right of the LCD:
- Press the middle button
- Press down for System Menu
- Press the middle button
- Press down until you get to Shutdown
- Press the middle button
- Press down for Yes
- Press the middle button and the system will Shutdown
Transferring a Call
Q. How do I transfer a call?
A. Whilst the call is live on your phone press the transfer button then:
- To transfer to an internal extension dial the extension number
- To transfer to an external number dial 9 then the telephone number
- To transfer to a mailbox dial 2500 then the extension number
Voicemail (Access)
Q. How do I access my own voicemail?
A. Dial 2501 then enter your passcode which in default may be your extension number and # or just #
Q. How do I access someone elses voicemail?
A. Dial 2500 then * followed by the mailbox number then enter their passcode and #
Voicemail (Greeting)
You can have 2 greetings for your mailbox, Primary and Alternate.
Q. How do I enable/change my Primary greeting?
A. Dial 2501 then enter your passcode which in default may be your extension number and # or just #. Once into your mailbox dial 4 1 1 to enable/change your primary Greeting. Follow the prompts to record, playback, save etc. If you want to keep the greeting that is already there press #
Q. How do I enable/change my Alternate greeting?
A. Dial 2501 then enter your passcode which in default may be your extension number and # or just #. Once into your mailbox dial 4 1 2 to enable/change your alternate Greeting. Follow the prompts to record, playback, save etc. If you want to keep the greeting that is already there press #
Voicemail (New Messages)
Q. How do I access new messages?
A. Your message button should be flashing to indicate new message. Lift the handset and press the flashing message button, then enter your passcode which in default may be your extension number and # or just #. Follow the prompts to listen to teh new messages.
You can press # to skip past the date/time and callers number. You can also press # to skip to the end of the message
Voicemail (Options)
Q. What options do I have after I have listened to a message?
A. You have the following options at the end of the message:
- 1 – replay the message
- 2 – reply
- 3 – forward the message
- 5 – to listen to the message envelope
- 7 – save the message
- 9 – delete the message
- # – to skip to the end of the message
- 1 – to go back 5 seconds
- 2 – to stop playback (press 2 to resume)
- 3 – to go forward 5 seconds
- 5 – to play the message envelope
- 7 – save the message
- 9 – delete the message
Voicemail (Passcode)
Q. How do I change my voicemail passcode?
A. Dial 2501 then enter your passcode which in default may be your extension number and # or just #. Once into your mailbox dial 4 then 3 then follow the prompts.
